Nema for Budget variance analysis

Prepare the variance review before the budget meeting.

Turn budget and actual exports into an inspectable discussion packet. Nema calculates from supplied definitions while finance checks signs, periods, mappings, and explanations.

An example in Slack Illustrative

@Nema, compare the attached budget and actuals using our department mapping. Show amount and percentage variances, cite the source period, flag zero denominators, and draft questions for finance.

Variance review

  • Marketing spend is $18,400 above the supplied monthly budget, or 12.6%.
  • The contractor line cannot show a percentage because its budget is zero.
  • Finance needs to confirm whether the annual software invoice was planned for this month.

A starting point for your team's review.

Align the two datasets

Provide the approved budget, actuals export, reporting period, currency, department mapping, and sign convention. State whether the comparison is monthly, quarter to date, or year to date. A valid calculation can still mislead when the periods differ.

Ask Nema to flag unmapped accounts, duplicate rows, and entities with different currencies before it totals anything.

Show the calculation

For each material line, include budget, actual, amount variance, and percentage variance using the team's definition. Display the formula or rule. Zero and negative denominators need explicit treatment because a normal percentage can become undefined or hard to interpret.

Thresholds should come from finance. Nema can apply an amount, percentage, or combined materiality rule, but it should not invent one after seeing the results.

Separate numbers from explanations

The exports establish the variance. Owner notes may explain it. Keep those sources distinct. A note that attributes higher spend to an annual renewal is a proposed explanation until finance confirms the invoice and timing.

Ask Nema to list unsupported explanations as questions. This gives department owners a focused way to add context before the meeting.

Prepare the finance discussion

Group material variances by department or decision. Include recurring versus timing items when the supplied evidence supports that distinction. Finance checks the mapping, signs, periods, and calculations, then chooses what belongs in the management view.

The packet supports review. It does not change a budget, forecast, payment, or accounting record.

Start with one department

Use a completed month and a department whose mapping finance knows well. Recalculate several lines independently, including a zero budget and a credit. Correct the guidance before expanding to the whole organization or scheduling the report.

Questions from finance teams

How does Nema handle a zero budget?

Show the amount variance and mark the percentage as undefined unless finance supplies another approved convention.

Can it explain every variance?

It can attach explanations found in authorized records and draft questions for missing context. Owners and finance validate the cause.

Does the review update the forecast?

No. Finance uses the packet to decide whether and how the forecast should change.

Keep the approved explanation with its exact period and department. A timing explanation from September should not be copied into October merely because the same account appears again. Each review needs current support.

Record who confirmed the explanation and when.
