Identify the current procedure
Give Nema access to the approved process documents the requester may see. Each source should have an owner, effective date, and status when possible. Archive old versions or label them clearly so a search result does not outrank the current rule by accident.
The question should include enough context to choose the right path. Location, request type, employment status, or spend band may change the applicable procedure.
Cite the exact section
Ask Nema to answer in plain language and link to the source section. The reply should state the effective date and any condition that changes the step. This lets the requester verify the instruction without reading every policy page.
When the document does not answer the question, Nema should say so. A useful response can identify the missing decision and the procedure owner who needs to resolve it.
Handle conflicts and exceptions
Two current-looking documents may disagree. Nema should display both and stop short of choosing the convenient version. The policy or process owner decides which one governs and corrects the source material.
Exceptions need equal care. If the procedure names an approval path, Nema can explain it. It should not grant an exception or infer that a past case changed the rule.
Improve the source over time
Keep the answer in the relevant Slack thread so the requester can clarify context. Repeated unanswered questions are a signal for the document owner to revise the procedure. Nema can collect those gaps without turning informal replies into policy.
The approved document remains the authority. The Slack answer helps the teammate apply it to a specific request.
Start with one common process
Choose a procedure with a clear owner and recent effective date. Ask real questions that have known answers and check every citation. Add missing metadata or clarify ambiguous sections in the source before expanding to other processes.
Questions from operations teams
What if the procedure is outdated?
Nema can flag its date and route the question to the owner. It should not treat an obsolete document as current guidance.
Can Nema approve an exception?
No. It can explain the documented exception path and help prepare the request for the authorized approver.
Who can see the answer?
The source permissions and Slack audience still apply. Restricted procedures should stay in channels whose members have matching access.
Keep the document link in the final answer so the requester can return to the full procedure later.
