Nema for Contract renewal tracking

Put upcoming vendor notice dates on the team's review list.

Give owners enough time to review a contract before the notice window closes. Nema prepares the calendar. Procurement validates every clause and date.

An example in Slack Illustrative

@Nema, build the next 120 days of renewal reviews from these approved contract extracts. Show renewal and notice dates, cite each source, flag ambiguity, and leave cancellation decisions to procurement.

Renewal calendar

  • Design service: November 30 renewal; source lists 30 days' notice.
  • Data provider: owner is missing and the notice clause needs review.
  • Procurement should confirm the timezone for the October 15 deadline.

A starting point for your team's review.

Start with approved contract facts

Provide the contract extracts, vendor identity, owner, renewal date, notice language, and current term. Use the approved source rather than a remembered date in Slack. If an extract omits amendments, say so.

Dates can depend on timezone, business-day rules, delivery method, or a clause interpretation. Nema should flag these conditions for procurement rather than choosing one silently.

Build a review calendar

Ask Nema to calculate internal review dates using the lead times your team supplies. The calendar should show the governing source, renewal date, notice deadline, proposed internal review date, owner, and unresolved questions.

An internal review date is an operating choice, not a contract fact. Label it clearly. This distinction helps the team adjust its workflow without changing the underlying obligation.

Surface gaps early

Missing owners, unsigned amendments, ambiguous clauses, and conflicting tracker entries should rise to the top. A record should not look complete merely because it has a date.

Group upcoming work by urgency and decision needed. Owners can confirm whether the service remains in use and whether a fuller vendor review should begin.

Keep decisions with procurement

Post the calendar in a restricted Slack channel and ask owners to acknowledge their reviews. Procurement validates legal and commercial details, chooses the next step, and handles any notice through approved channels.

Nema can prepare reminders and a draft review list. It should not cancel, renew, or contact a vendor automatically.

Begin with one quarter

Take a small set of contracts whose dates procurement already knows. Compare Nema's calendar with the source documents and investigate every difference. Once the rules are reliable, schedule a recurring review that always displays source freshness.

Questions from procurement teams

Can Nema interpret notice clauses?

It can extract language and identify dates that follow a supplied rule. Procurement or counsel resolves ambiguous legal meaning.

What if the owner has left the company?

Flag the contract as unowned and route it to the procurement lead. Do not infer a new owner from a team chart alone.

Will Nema send cancellation notice?

No. The workflow prepares the review calendar. Authorized staff make and communicate the decision.

When procurement confirms a date or owner, update the approved source as well as the Slack view. This prevents the next scheduled review from reopening a gap that the team already resolved elsewhere.

Keep the confirmation link with the record.
