Nema for Invoice intake

Organize incoming invoices for review.

Nema turns a batch of provided documents into a consistent intake queue. Accounting validates every invoice and its status.

An example in Slack Illustrative

@Nema, prepare an invoice register from these documents using our required fields. Flag duplicate candidates, missing values, currency and entity questions, and do not mark any invoice paid.

Invoice intake register

  • INV-1842 lists CAD 6,250 for the Canada entity and lacks a purchase-order reference.
  • Two documents share vendor, amount, and invoice date; accounting must check for a duplicate.
  • The payment-status field remains unknown because the source documents do not establish it.

A starting point for your team's review.

Define the intake fields

Give Nema the supplied invoice files and the accounting team's required fields. These may include vendor identity, invoice number, entity, date, currency, subtotal, tax, total, purchase-order reference, and due date. State the batch and receipt date.

Keep documents in an authorized location and use a Slack channel whose audience may access them.

Extract without inventing

Ask Nema to copy supported values and link each register row to its document. Illegible, ambiguous, or absent fields should remain unresolved. A logo does not always establish the legal vendor entity, and a currency symbol can be ambiguous.

Normalize formats for review while preserving the source value. Accounting can then see both the document entry and the proposed standardized field.

Flag duplicate candidates

Duplicate detection should use rules the team understands, such as matching vendor, number, amount, and date. A candidate is not a confirmed duplicate. Credit notes, installments, and revised invoices can resemble one another.

Group likely matches and show why they were flagged. An accountant inspects the documents and decides the treatment.

Keep status claims narrow

The presence of an invoice proves neither approval nor payment. The register can show document received, fields extracted, and review pending. Payment, posting, tax treatment, and approval stay with the accounting process.

After reviewers correct fields in Slack, Nema can prepare a clean intake summary. It should not send funds or create ledger entries in this workflow.

Start with a small batch

Use invoices from a few known vendors and include one incomplete document. Compare each extracted field with the source and test the duplicate rule. Refine entity and currency guidance before expanding the batch.

Questions from accounting teams

Can Nema tell whether an invoice was paid?

Only if an authorized payment record explicitly establishes that status. The invoice document alone does not.

What happens with a possible duplicate?

Nema shows the matching fields and both source documents. An accountant decides whether they represent the same obligation.

Does Nema approve invoices?

No. It prepares the intake register and exception list for the team's existing review and approval controls.

Once accounting finishes the batch, compare corrected fields with the first extraction. Repeated problems, such as an ambiguous vendor entity or missing purchase-order number, can become clearer intake guidance for the next set of documents.

Retain the accountant's corrections with the batch so the next review can distinguish a source problem from an extraction problem.
